Learn how to invoice students/customers, collect payments, manage products and services, and track payment activity.


Connecting Your Club to Stripe

Before you can begin invoicing or collecting payments, your club must connect to Stripe. This ensures secure financial transactions. To start, go to the Billing tab and click "Connect My Bank". You’ll be redirected to Stripe’s onboarding form.

Stripe will collect essential information (like your club’s name, contact info, and bank details) to verify and link your account. The Aviation Pal does not store your banking or credit card data.

Managing Products

Products can be inventory-based (e.g., fuel, headsets) or services (e.g., aircraft rental or instruction). Each product includes:

  • Type: Inventory or Service
  • Charge Type: Flat or Per Unit
  • Price & Unit (e.g., per gallon, hour, item)
  • SKU/Part Number (optional)

Inventory products will track stock levels through receipts and withdrawals. You can view current stock, quantity sold, and purchase history from the product detail page.

Creating Invoices

To invoice a customer, click "New Invoice" under Billing → Invoices. Select a customer, add products or services, and assign a quantity and price.

Optionally, you can link the invoice to a specific flight and add a description.

Once ready, either draft or finalize the invoice. Finalizing sends the invoice to the customer for payment.

Customer Payments

Customers can pay directly using the secure Stripe-hosted payment page. Payment methods include card, Cash App, or bank account.

Payments are tracked in the Payments tab. You'll see Stripe charge IDs, payment dates, amounts, and transfer status.

Viewing and Managing Invoices

All invoices can be managed in the Invoices section. You can view issue dates, due dates, payment status, and totals. Paid invoices will be clearly marked.

You can edit draft invoices or resend finalized ones as needed.
